Here are some tips to make the most of your online participation depending on your role at this year’s event. Please take a minute to review them.

5 things you need to know:
Watch your email! You should have received an email from Zoom giving you access to the venue. Keep that email close to you as you will need it every time you need to access the venue.
We maintain the same agenda and slots for all sessions, despite the circumstances.
To participate in a session, access the Zoom Events space and just enter the session when it’s active.
The list of participants remains unchanged.
Please spend a few minutes on your Zoom profile: add a picture, correct your name if it is wrong, and add your organisation. This will help you connect with others.
If the email address you used to register for the event is not linked to your Zoom account, make sure to log out of Zoom before accessing the venue!

How to…

You have received an email from Zoom giving you access to the online venue. This email is personal and non-transferrable; do not share it with anyone.
⚠️ Please keep this email close to you, as you will need to use it to access the venue.
By accessing the online venue you will be able to access the online event as well, so you can participate of the online and hybrid sessions and connect with other participants.

Your Zoom invitation gives you access as a speaker in your designated sessions. Use the blue button in that email to access the online venue.

Once you are in the venue, you will see a section called “Your sessions”. It lists the sessions where you are a speaker. You will be able to join the session a few minutes before it starts.
If you lose your Zoom access email, please contact your session convener or facilitator so they can notify us, and we can send you a new one.
4With your role as a speaker, you receive access to all other hybrid and online sessions, too. Enjoy the discussions!

1. Join the Zoom Events space from a computer (PC or Mac)
2. Download or update your Zoom client to the latest version.
3. Ensure a good internet connection.
4. Test your microphone and speakers in advance.

If the session has simultaneous interpretation enabled, you can access it by switching the language channel in the Zoom call.

If you are a session organiser or facilitator…
All session organisers now have an appointed contact person to help you with any potential issues. Here are some common questions:

1. We will launch your session a few minutes before the start time.
2. We will make you co-host in the call, so you can mute, activate cameras, and control the call.
3. Our team will provide you with technical support (microphones not working, etc.).

If you are running a webinar, you will have a “backstage” where you can prepare with your speakers. Speakers can join the backstage as soon as we launch it.
If you are running a meeting, your speakers will join when we start the call, and they will be assigned the speaker role automatically. Others will be able to join while you prepare. A good chance to get to know your participants.
→ As a convener, you can also “promote” Zoom participants to speakers.

When you enter the call, we will assign you a co-host role. As co-host, you have full control over the chat. If you are running your session from Brussels, we recommend you bring someone who can support you watch the chat (if you have enabled it). We also recommend they bring their own laptop.
A member of our team will remain in your call as co-host to help with any technical issues.

Yes, they can simply share their screen.

Our technical team is watching and ready to help you. Give them a second to solve it. Please note they cannot solve issues with your speakers’ technical equipment.
